Privacy policy
This policy explains how Celebrance handles personal information on this website. It follows Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).
What we collect
When you send a request from a region page, we collect what you type in the form:
- your name and email address;
- your phone number, ceremony date and message, if you give them;
- the ceremony type and region of the page, the language you use, and the time you agreed to be contacted.
With the request, we also record a few technical details: the website that sent you to us (its domain only), the first page you visited, campaign tags in the link you followed (such as utm_source), your browser type, and a one-way scrambled version of your IP address. We use these details to understand how people find us and to block abuse. We cannot recover your IP address from the scrambled version.
When you book a ceremony online, we collect what you enter in the booking form: your names, email address and phone number, the date, start time and venue, the package and options, the language of the ceremony and your message. We also keep the version of the terms you accepted, when you accepted them and a scrambled version of your IP address, with the same technical details as a request. Once an officiant confirms, we create your Celebrance account with your email address, so you can sign in to your ceremony space with a code or a link we email you.
If the date you want is not available and you join the waitlist, we keep your email address, the date, the region and the package, and email you once if the date opens up. We delete the entry once the date has passed, or 30 days after that email. Every email has a link to leave the list.
When you ask for licence reminders in the marriage licence planner, we keep your email address, your wedding date and the municipal office you chose, if any, to email you when you can apply and a week before the recommended date. We delete them once the wedding date has passed, or as soon as you use the stop link in any reminder.
If you call us, our team may record your request the same way as a request sent from the site, with your consent: your name, email address, phone number, date, region and message.
When you visit a page, our server records the page address (without its query parameters, except campaign tags), the website you came from (domain only), your browser type and an anonymous visitor number. The number is computed from a scrambled version of your IP address and browser, changes every day and cannot identify you. It lets us count visits and see which sources bring them, including AI assistants. No cookie is used for this.
When you apply to become an officiant, we keep what you send in the form: your name, email address and phone number if you give it, the journeys, regions and languages you choose, your experience, your website and your message, with the same technical details as a request. Our team reads it to decide whether to invite you. If we invite you, we create your officiant account with your name and email address.
If you sign in with Google, Google confirms your email address to us and shares the name and profile photo of your Google account. We use only the email address, to find the account Celebrance created for you; signing in with Google never creates one. Google doesn't see what you do in your space.
If you are an officiant and turn on notifications on a phone or computer (from your officiant space), we keep the push address your browser gives for that device, its encryption keys and the browser type, so we can tell you about new booking offers and requests as they arrive. A notification shows the date, the area and the time to answer by, never a client's name. You can turn them off at any time; we delete the address when you do, when the push service tells us it no longer works, or when your account is closed.
When an AI assistant uses our connector (see Celebrance for AI assistants), we receive only its questions: an area, a date, a time, a package or a language. The connector never asks for your name, email address or phone number, and we don't record who is asking. If you then open the booking link it gives you, this policy applies as for any other visit.
When you browse, your browser keeps the first page you visited and the site you came from in its session storage, so that a request sent a few pages later is correctly attributed. This data stays in your browser, is only sent to us if you send a request, and is erased when you close the tab.
In your ceremony space, once your officiant confirms your booking, we keep your answers to the ceremony questionnaire, the ceremony script your officiant writes, the comments you exchange about it, and whether you told us you have your marriage licence. Only your confirmed officiant and our team can read them. When your officiant opens the script in reading mode, a copy stays on their own device so they can read it without a connection on the day. It is deleted from the device two days after the ceremony, or when they sign out.
For a funeral or a celebration of life, once a celebrant accepts your family's request, your family may get a space where you answer questions about the person you are honouring and the ceremony. Your celebrant and our team can read your answers. The family can share a link with relatives so they can leave a memory: the relative's name, their relationship to the person and their message, with a scrambled version of their IP address to block abuse. The family approves or hides each memory, and the celebrant only reads the approved ones. Memories are deleted with the space.
After the ceremony, we invite you to leave a review: a rating, a comment and the name you choose to sign it with. We check every review before we publish it on the officiant's profile.
If you arranged your ceremony directly with your officiant and they prepare it with Celebrance, your officiant enters your name, email address, language and ceremony date to open your space, after telling you. Your agreement and your payment stay between you and your officiant. We delete that space 24 months after the ceremony.
If you are an officiant or a celebrant, we also keep what you give us to work together: your profile (name, photo, bio, languages, regions, base postal code and travel distance), your availability and time off, the calendar link you connect (kept encrypted, and read only to know when you are busy), the proof of your registration to perform marriages (a private file only our team can open), your GST/HST number if you enter it (never public), the versions of our agreement you accepted, and the payments you tell us you received. Your public profile shows only what appears on it.
We do not use advertising cookies or tracking pixels. Pages about funerals and celebrations of life never load third-party scripts.
Why we use it
- To answer your request, propose an officiant and confirm a date.
- To run your booking: the confirmation, your ceremony space, and the emails about what comes next (licence, questionnaire, the day itself, a review).
- To share with the officiant we propose only what they need to prepare: your name, contact details, date, region and message.
- To prevent spam and abuse of the form.
- To measure which pages and sources bring requests, using aggregate figures.
We do not sell your personal information. We do not send you marketing emails unless you ask for them.
Who processes it for us
We use service providers who process data on our behalf, under contract, and only for the purposes above:
- Supabase stores our database, in Canada.
- Vercel hosts the website. Pages are served from a global network, and our server functions run in Montréal.
- Google (Google Workspace) sends our emails. When you choose to sign in with Google, Google also confirms who you are.
- Anthropic (Claude), only when your officiant asks for an AI first draft of your ceremony: we send your questionnaire answers and the ceremony language, never your email address or phone number. Your officiant reviews and edits the draft. Anthropic does not use this data to train its models.
- Push services (Google, Apple, Mozilla or Microsoft, depending on the officiant's browser) deliver the notifications an officiant turns on. Each message is encrypted for the device, so the push service can't read it.
- Sentry receives a technical report when an error happens on our servers. It can include the page or the form involved.
- PostHog receives our visit measurements and request statistics: page addresses, sources and anonymous visitor numbers, never your name, email or phone number.
Some of these providers are based in the United States, so your information may be processed there and be subject to the laws of that country.
How long we keep it
We keep a request and its exchanges for 24 months after our last contact with you, then delete it. Requests identified as spam are deleted after 30 days. An application to become an officiant is deleted 12 months after our answer, or 12 months after it arrived if we never answered.
We keep a booking and its ceremony space while they are useful for your ceremony and for any question afterwards. Once the ceremony is past, you can ask us to delete your space and to remove your name and contact details from the booking: we then keep only what was agreed (the package, the price and the version of the terms you accepted). The waitlist, licence reminders, memories and the spaces officiants open for their own clients follow the periods given above.
How we protect it
Connections to the site are encrypted. Your information is stored in a database that only authorized Celebrance staff can read, through individual accounts protected by a second factor. Officiants only see the bookings and requests that are offered to them, and a client's contact details once they have confirmed.
Your rights
You can ask us to:
- tell you what personal information we hold about you and give you a copy;
- correct it if it is inaccurate;
- delete it, or stop using it, by withdrawing your consent.
Write to privacy@celebrance.ca. We answer within 30 days. If you are not satisfied with our answer, you can contact the Office of the Privacy Commissioner of Canada.

Changes to this policy
We update this policy when our practices change, for example before payments through Celebrance start. The date of the last update is shown at the top of this page.
